Job Summary:

The Office of Medical Education in the College of Medicine at SUNY Downstate Health Sciences University is seeking a full-time Senior Staff Associate / Administrator.

The Department Administrator will work in partnership with the Department Chair to manage the Department’s resources (human, financial, other) and ensure that they support the College of Medicine's undergraduate medical educational programs at all sites. The Administrator will serve as a primacy liaison with the Educational Leadership Team, other academic departments, affiliates, and university administrators.

Specific responsibilities will include, but are not limited to:

  • Provide direct support to the Chair of the Department of Medical Education, including coordination of activities with Educational Leadership Team to ensure the successful delivery of the medical education program.
  • Management of all departmental human resource activities, including:
    • Coordinating all HR transactions for faculty and staff engaged in the medical education program. and who receive some or all compensation from the Department of Medical Education. All faculty have their primary academic appointment in their home departments of instruction; the administrator will work with Department of Medical Education leadership to confirm faculty teaching contributions, confirm compensation structure, prepare letters outlining contributions and expectations, and will coordinate HR paperwork to correspond with these teaching contributions.
    • Oversight of the management and supervision of support personnel, including monitoring staffing patterns, hiring, and evaluation.
    • Processing new hires, promotions, and term renewals;
    • Processing of time and attendance for all staff and faculty when appropriate.
  • Special projects as assigned, including but not limited to faculty development programs, "Resident as Teacher" programs. and other projects that are designed to improve our medical education program.
  • Support of the interaction and interface with the Office of Graduate Medical Education as it pertains to Undergraduate Medical Education.
  • Management of all medical education finance activities, medical education operating. and personnel budgets:
    • Planning for and forecasting expenditures;
    • Oversight of departmental procurement and travel. 
  • Participation in the planning of department programs in conjunction with Department Chair, Faculty, and campus administration.
  • Ensuring that the infrastructure that supports the department's undergraduate medical education programs are maintained. including websites and the procurement of necessary supplies and materials.
  • Support the administration of the SUNY Downstate New York Eta Chapter of Alpha Omega Alpha.

Required Qualifications:

  • 5+ years of administrative experience in an academic medical center or closely related setting.
  • Demonstrated ability in financial and personnel management.
  • Excellent written and verbal communication skills; excellent analytical skills; excellent executive leadership capability; excellent interpersonal skills.

Preferred Qualifications:

  • Master's Degree in education, business or healthcare administration or equivalent graduate degree.

Variable Days; Variable Hours (Full-Time)

Commensurate with experience and qualifications
