Job Summary:

The Department of Emergency Medicine at SUNY Downstate Health Sciences University is seeking a full-time Administrator / Senior Staff Associate. Reporting directly to the Chair of the Department of Medicine, the successful candidate will:

  • Be accountable for budgetary and expenditure control. Develop and plan the Academic, UHD budget for use by the department. Report all departmental resources as required to COM, UHD, and the Research Foundation.
  • Coordinate faculty appointments for salaried and non-salaried members in the department. Facilitate necessary paperwork required for Medal Board privileges for physicians, physician assistants, and nurse practitioners in the department. Work closely with Employee Health Service on health clearance for new appointments and annual clearance for faculty and staff in the department.
  • Organize and attend departmental committee meetings for CAPQ.
  • Develop and prepare job descriptions, performance programs, competencies and evaluations of administrative personnel.
  • Interview and hire professional and civil service staff. Assure that faculty and staff personnel transactions are completed and processed in a timely fashion.  
  • Plan and implement UHB, JCAHO, and ACGME educational requirements for physicians, professional, and undergraduate staff.
  • Facilitate maintenance and upkeep of human resource departmental files to ensure JCAHO compliance.
  • Monitor Department of Medicine Affirmative Action initiatives and compliance.
  • Provide and respond to the needs of the coordinators and staff tor the day-to-day administrative and management services requested by the COM and UHD.
  • Work closely with faculty and staff to coordinate and complete all required paperwork for new staff, reappointments and separations.
  • Coordinate and assist in preparing all division reports as required by the Chairman of the College of Medicine and Hospital Administration. These reports include:
    • Annual Division Reports
    • Accreditation Reports
    • Fellowship Recruitment Effort
    • COM All fund Reports, State Budgets (College of Medicine and University Hospital)
    • Graduate Medical Education
  • Serve as the Chair’s administrative representative on departmental issues with the Dean's Office, Hospital Administration and Faculty.
  • Serve as the department liaison with hospital-wide Performance Improvement and Regulatory Affairs activities.
  • Organize various department teaching activities, including informal conferences and presentations.
  • Attend departmental Operations and Performance Improvement meetings.
  • Assist in monitoring monthly medical record deficiencies. Notify physicians of noncompliance.  
  • Coordinate departmental policies and procedures for clinical services. Update department and division policies as requested by the Chair.
  • Attend Department meetings and assist in preparing agenda if requested.
  • Attend COM Administrator meetings as scheduled.
  • Attend monthly UHB Department Administration meetings as scheduled.
  • Organize and attend departmental and hospital operations and performance improvement committee meetings.
  • Supervise Emergency Medicine administrative staff and oversee the fiscal duties of all residency coordinators.
  • Be accountable for special projects as assigned.

Required Qualifications:

  • Bachelor's Degree.
  • 5 to 7 years of applicable administrative experience.

Preferred Qualifications:

  • Master in Business or Health Administration.

Monday to Friday; 9:00am to 5:00pm (Full-Time)

SL-5

Commensurate with experience and qualifications
